Subdivisions

A subdivision enables to group users (submitters and moderators) within the organisation, for example according to their department, institute or faculty. This makes it possible to manage rights more finely in the repository.

Create a subdivision

  1. Open the administration interface
  2. Open "Administration > Subdivisions"
  3. Add one and save

Associate a user to a subdivision

  1. Edit the user
  2. Add the field "Subdivision" if it is not present
  3. Type the name of the corresponding subdivision

Permissions within a subdivision

A submitter of a subdivision

  • can only submit deposit in his/her subdivision

A moderator of a subdivision

  • can see, edit and delete deposits of his/her own subdivision, but not of others
  • can see and edit all documents, even if they are not of his/her subdivision

An administrator of a subdivision

  • can see, edit and delete all deposits/documents of his/her organisation, even if they are not of his/her subdivision

Notifications for new deposits

The notifications are sent

  • in case of a subdivision in the deposit:
    • to all moderators of the same subdivision
    • to all administrators
  • in case of no subdivision in the deposit
    • to all moderators without subdivision
    • to all administrators

If it exists in the deposit, the subdivision is indicated in the e-mail object.

Delete a subdivision

  1. Open the administration interface
  2. Open "Administration > Subdivisions"
  3. Select one and delete it

It is impossible to delete a subdivision already assigned to a user or a document.
